Ordering custom bags directly from a manufacturer in Vietnam is straightforward once you know the sequence. Here is the process we use with buyers, what you need to prepare at each stage, and the timelines to plan around.

1. Prepare a brief

The more precise your brief, the faster and more accurate the quote. Useful details: bag style and dimensions, material and weight (or the use case, and we will advise), handle type, print requirements and colours, finishing such as gussets or zips, target quantity, and delivery destination and date.

2. Quotation

You receive a written quote with unit price at your quantity, tooling or print set-up costs, sample cost, and an indicative production and shipping schedule. Ask for pricing at two or three quantities so you can see how volume affects the unit cost.

3. Sampling

We produce a sample to your exact specification. Sampling usually takes two to three weeks including one round of revisions. Check the sample carefully against your spec before approving it. See our FAQ for what to look for.

4. Pre-production approval

Once the sample is signed off it becomes the reference (the “golden sample”) for the whole production run. Confirm final quantities, packaging, labelling and shipping terms here.

5. Production

Production typically runs six to eight weeks depending on quantity and complexity, with in-line quality checks at the factory throughout.

6. Quality control and pre-shipment inspection

Every batch passes a pre-shipment inspection covering measurements, stitching, print registration, load testing and packaging, with photo documentation supplied before goods leave the factory.

7. Shipping

Sea freight is the standard option at roughly six to eight weeks depending on destination. Air freight is available for urgent orders at higher cost. End to end, a custom order usually takes 16 to 18 weeks from brief to delivery.

Common pitfalls

• Leaving artwork until the last minute. Supply print-ready vector files with Pantone references early.
• Skipping a proper sample review. Fixing an issue in a sample costs nothing; fixing it in 20,000 finished bags costs a lot.
• Underestimating shipping time when planning a seasonal launch.
